Cycle counts

However careful you are, real shelf counts drift from what the system thinks — breakage, miscounts, the odd unrecorded sample. A cycle count is the tidy way to fix that: you count what's actually there, ZeylonPOS shows the difference against its records, and when you finalize, it posts the corrections as tracked adjustments so your books stay honest.

🔷 For managers & admins
Part of the Advanced Inventory module (advanced_inventory). Viewing/creating needs advanced_inventory.cycle_counts.read / .create; posting the corrections needs advanced_inventory.cycle_counts.finalize. Usually a warehouse manager or manager task.

Each count with its reference, location, status and item count.

Step by step

  1. Go to Cycle Counts and select New.
  2. Optionally give it a Reference, choose the Location you're counting, and add Notes. Select Start — this opens the count and takes you to its detail page.
  3. Add items to the count and, for each, type the Counted Qty you see on the shelf. The Variance (counted minus system) is shown live — green for a surplus, red for a shortfall.
  4. When you've counted everything, select Finalize. ZeylonPOS posts an adjustment for every item with a non-zero variance, correcting the stock to match your count.

Reading the count sheet

System QtyWhat ZeylonPOS thinks you have — always read from current stock, so it can't be typed in. Changing a line's product re-reads its stock.

Statuses

StatusMeaning
OpenJust created; you can still add and edit items
In ProgressCounting under way — items and quantities being entered
FinalizedCorrections posted; the count is locked
CancelledAbandoned; no adjustments posted

Finalize is final

Finalizing posts stock adjustments and locks the count — you can't edit the quantities afterward. Double-check your figures first. If something's wrong after the fact, run a fresh cycle count to correct it.

Every correction shows up on the stock movement report as an Adjustment, so there's always a trail of what changed and why.

Mobile workflow

The mobile More → Advanced inventory workspace lists existing cycle counts and their items. Authorized counters can enter physical quantities, review system quantities, and finalize a completed count. Count creation and product selection remain available on the larger web workflow.
